Event Setup/Automation & Go-Live
The automated sync
Purpose. Understand the automation so you know what it does and what to hand to Entangle for a new event. You do not operate this. Entangle does. You just need to know it exists and what it needs.
What it does
Every night at about 1am, an Entangle service pulls the day's Funraisin order report and creates the matching orders in Shopify automatically. They are combined into one order per buyer and routed as described in Locations and routing. It replaced the old manual process of downloading the spreadsheet and importing it.
What it needs for a new event
- The products must be set up and mapped, with each
option_codeset. See The Critical Link. The sync relies on the report's Variant IDs. - Entangle repoints the sync at the new event. That covers the report's API link and the start date, so it only imports new orders.
- That is it. Once products are mapped, orders flow on their own.
What you will see
The sync only emails a summary when there is something to act on. That could be new orders, an error, or an item it could not recognise (a "review" item, for example a product with no option_code). A quiet night means no email. If you ever get a review alert, that is the sync telling you an item needs attention, usually a missing product mapping.
Watch out for
- If you import an order into Shopify by hand, tell Entangle. Otherwise the sync may create it again.
- A review alert almost always means a product from The Critical Link was not mapped.
