Reconciling counts

Goal: compare Funraisin and Shopify correctly, and understand why the two will never match exactly.

Count differences are usually a reporting artefact, not missing orders. Before escalating a gap, work through this page. Every trap below has caused a real false alarm.

Stock numbers are not order counts

Made-to-order products such as jerseys, tees and hoodies are set to allow overselling, so their Available figure goes negative and keeps going negative across campaigns. A jersey showing minus 282 does not mean 282 orders this year. It is an accumulated figure that was never reset.

Count these two ways instead:

Watch for archived duplicate products

The store carries several years of the same product. There are currently eight jersey products, six of them archived. A report that matches on product name can easily land on last year's archived product and return a number that looks far too low.

Always check you are on the current year's Active product. On Gong Ride the two live ones are 2026 MS Gong Ride Men's Jersey and 2026 MS Gong Ride Women's Jersey.

Unfulfilled does not mean missing

Every Hillbrick jersey sits at Unfulfilled in Shopify, because the hand-off to Hillbrick is arranged offline rather than through Shopify. Any count based on fulfilment status will therefore under-report jerseys badly. Count orders, not fulfilments.

Legitimate reasons a Funraisin number is higher

Reason	Example

Rows pointing at a stale variant from a previous year	Excluded on purpose, the product no longer exists
Unpaid or abandoned orders	Filtered out at Step 2

A worked example

In July 2026 a report suggested only 3 women's jerseys had sold against 11 in Funraisin. That looked alarming. Checking properly:

• The current Women's Jersey product showed 12 units sold over 90 days and 13 buyers.
• Size M alone showed Committed 8 at Hillbrick, so those 8 orders plainly existed.
• Funraisin's own figure was 12 real rows plus 1 staff test.

Nothing was missing. The low number came from a name-matched report landing on an archived product, compounded by every jersey sitting Unfulfilled. The correct answer was 12.
